Receptionist/Administrative Assistant, Wichita, KS
Job Description & Requirements
- Position Type: Full-Time
- Salary: $18-20/hr.
Position Summary:
Manages activity for the Equipment Fund. Performs administrative assignments for the Director of Equipment Fund. Performs support duties for Wheelchair Clinic, and is backup receptionist and backup scheduler.
Essential Job Functions:
Administrative Assistant
- Answers telephone inquiries re: potential funding for equipment.
- Receives, types, and sends appropriate correspondence.
- Completes numerous forms for United Way and other funding agencies.
- Prepares invoices for payables.
- Enters data into Single Point of Entry.
- Creates and Maintains files, documents and correspondence.
- Provides information and referral services.
- Reconciles revenues with account receivables.
- Maintains data for various funders
- Submits reports to various funders in required format
Wheelchair Clinic duties
- Checks KMAP for Medicaid insurance on all clients for evaluations and fittings.
- Sends appointment letters (either fax or DocuSign per client request) to all evaluation clients.
- Updates information of clients in Rehab Optima EMR system.
- Inputs therapist time units from sign in sheets into SPOE, and therapy scores into spreadsheet
Backup Receptionist (Lunches and Absence Coverage)
- Provides front desk phone coverage.
- Checks in patients, collects copays and insurance cards, escorts to rooms, reviews paperwork.
- Obtains signature on all tickets for equipment delivered by National Seating, and processes tickets
- Scans paper forms to electronic file system.
Backup Scheduler (Absences and Needed Assistance)
- Verifies patient insurance.
- Schedules appointments for clients as needed.
- Requests scripts for evaluations.
- Enters appointments in Outlook Calendar.
- Makes reminder calls for appointments.
Job Requirements:
EDUCATION: High School or equivalency, formal Microsoft training preferred
EXPERIENCE: Experience in bookkeeping, secretarial, reception
SKILLS: Word processing and spread sheet skills required – Word, Excel and Outlook preferred. Organizational skills; capable of handling multiple tasks. Self-directed and self-motivated. Must be able to meet critical deadlines. Ability to communicate with internal and external entities.
SUPERVISORY RESPONSIBILITIES: None
TYPICAL PHYSICAL DEMANDS: Requires sitting, standing, and bending. May require lifting up to 20 pounds or more. Requires excellent manual dexterity sufficient to operate machines such as computers, fax machine, copier, and telephone. Requires normal range of hearing and vision.
TYPICAL MENTAL DEMANDS: Must be able to analyze information and communicate clearly in writing and verbally with multiple entities.
